Coaching Sprint Terms and Conditions

These Terms and Conditions govern participation in the Petrus Development Coaching Sprint. By purchasing or enrolling in the Coaching Sprint, you agree to the terms below.

1. Program Overview

The Coaching Sprint is a three-month virtual coaching program offered by Petrus Development. The Sprint includes a pre-sprint Pete AI onboarding session, 12 weekly virtual coaching sessions, access to Pete AI during the active Sprint period, and a shared Sprint Playbook.

The Sprint is designed to help participating organizations strengthen their fundraising systems across key areas such as goals and planning, annual fund strategy, major gifts, case for support, stewardship, monthly giving, campaign readiness, fall launch planning, Giving Day planning, data, systems, and accountability. 

2. Payment Terms

The investment for the Coaching Sprint is either:

  • $4,799 paid in full, or

  • Three monthly payments of $1,600

Payment must be made according to the payment option selected at enrollment. If you select the monthly payment option, you authorize Petrus Development to charge the payment method provided according to the applicable payment schedule.

If a payment fails or becomes past due, Petrus Development reserves the right to pause coaching sessions, Pete AI access, and related services until the account is brought current.

3. Program Timeline

The Coaching Sprint is a three-month program. Unless otherwise agreed in writing, all included coaching sessions, Pete AI access, and Sprint deliverables must be used during the active Sprint period.

Unused sessions do not roll over after the Sprint period ends. Pete AI access included with the Sprint ends at the conclusion of the Sprint unless continued access is included through another Petrus Development product, membership, or coaching agreement.

4. Scheduling and Missed Sessions

Coaching sessions will be scheduled by mutual agreement. Whenever possible, all Sprint sessions should be scheduled at the beginning of the program.

You may reschedule a session with at least 48 hours’ notice. Sessions missed without timely notice may be forfeited. Rescheduled sessions must take place during the active Sprint period unless Petrus Development agrees otherwise in writing.

Petrus Development may reschedule a session due to illness, emergency, travel, or unavoidable conflict. If Petrus Development reschedules a session, we will work with you to find a replacement time.

5. Client Responsibilities

The success of the Sprint depends on active participation and implementation by the client. By enrolling, you agree to:

  • Attend scheduled coaching sessions

  • Provide requested background information, donor data, fundraising history, calendars, case materials, and other relevant information

  • Complete agreed-upon action items between sessions

  • Review and approve all materials before use

  • Submit brief accountability updates when requested

  • Make final decisions regarding donor communication, fundraising strategy, implementation, and use of materials

Petrus Development provides coaching, strategy, tools, templates, recommendations, and accountability. The client remains responsible for implementation.

6. Pete AI Access and Use

Pete AI access is included during the active Coaching Sprint period.

Pete AI is intended to assist with drafting, brainstorming, planning, donor communications, stewardship materials, fundraising strategy, and related development work. Pete AI is a support tool and does not replace professional judgment.

You are responsible for reviewing, editing, fact-checking, and approving all AI-generated content before using it. You remain responsible for the accuracy, appropriateness, confidentiality, and final use of any materials created with Pete AI.

You should not upload confidential, sensitive, or unnecessary personal information into Pete AI unless you have the right to do so and unless such information is needed for the work. Petrus Development may update Pete AI features, limits, access terms, or platform functionality over time.

7. No Guarantee of Fundraising Results

Petrus Development does not guarantee any specific fundraising result, donor response, gift amount, campaign outcome, revenue increase, or organizational result.

The Sprint provides coaching, strategy, tools, templates, AI support, and accountability. Results depend on many factors outside Petrus Development’s control, including client implementation, donor relationships, timing, list quality, internal capacity, leadership support, and broader organizational circumstances.

8. Practical Progress Commitment

The Summer Coaching Sprint is built around implementation. If, by the end of the active Sprint period, Client has participated in the program and completed the reasonably assigned action items, but does not leave the Sprint with a fall appeal, major gift pipeline, and 12-month fundraising calendar built, Petrus Development will continue working with Client at no additional charge until those three deliverables are completed.

9. Refunds and Cancellations

Because the Coaching Sprint reserves coaching capacity and includes access to proprietary tools, training, and materials, payments are non-refundable once the Sprint begins.

If you choose to discontinue participation after the Sprint begins, you remain responsible for any outstanding payments under the payment option selected at enrollment.

Petrus Development may, at its discretion, make exceptions in unusual circumstances, but is not obligated to do so.

10. Scope of Services

The Coaching Sprint includes the coaching sessions, Pete AI onboarding, Pete AI access during the active Sprint period, and development of the Sprint Playbook.

Unless separately agreed in writing, the Sprint does not include:

  • Done-for-you fundraising implementation

  • Direct donor solicitation by Petrus Development

  • CRM migration or full database cleanup

  • Graphic design

  • Printing or direct mail production

  • Event management

  • Grant writing

  • Campaign feasibility study execution

  • Website development

  • Paid advertising management

  • Ongoing consulting beyond the Sprint period

Any additional services must be agreed to separately in writing and may require additional fees.

11. Third-Party Tools and Costs

You are responsible for any third-party costs related to your fundraising work, including CRM subscriptions, email platforms, Giving Day platforms, printing, postage, payment processing fees, design services, software, or other tools recommended or used during the Sprint.

Petrus Development may recommend third-party tools or platforms, but you are responsible for evaluating, purchasing, and managing those tools.

12. Confidentiality

Both parties agree to protect confidential information shared during the Sprint.

Confidential information may include donor information, fundraising data, internal plans, financial information, strategy documents, proprietary materials, coaching methods, templates, AI prompts, and other non-public information.

Neither party may share the other party’s confidential information with third parties except as needed to carry out the Sprint, with permission, or as required by law.

13. Donor Data and Privacy

You retain ownership and control of your donor data. You are responsible for ensuring that you have the right to share donor data with Petrus Development for purposes of receiving coaching and related services.

Petrus Development will use donor data only to provide the services included in the Sprint. You should avoid sharing sensitive donor information that is not necessary for the work.

Petrus Development is not responsible for errors, omissions, or inaccuracies in donor data or other information provided by the client.

14. Ownership and Use of Materials

You may use final customized materials created during the Sprint for your organization’s internal fundraising purposes. This may include customized appeal drafts, stewardship plans, donor communication drafts, campaign planning materials, dashboard templates, and your Sprint Playbook.

Petrus Development retains ownership of its pre-existing materials, templates, frameworks, prompts, methods, training content, proprietary tools, and intellectual property.

You may not reproduce, sell, publish, teach, distribute, or share Petrus Development materials outside your organization without written permission.

15. Use of Client Examples and Case Studies

Client gives Petrus Development permission to reference the organization’s participation in the Summer Coaching Sprint and to speak generally about the results, progress, deliverables, and outcomes achieved during or after the Sprint.

This may include references to items such as completed fundraising materials, improved fundraising systems, major gift pipeline development, appeal preparation, calendar creation, donor communication improvements, Giving Day planning, campaign readiness progress, or fundraising results reported by Client.

Petrus Development may use these examples and results in marketing, training, sales conversations, presentations, website copy, social media, case studies, testimonials, or other promotional and educational materials.

Petrus Development will not publicly disclose individual donor names, personally identifiable donor information, confidential financial details, internal strategy documents, or sensitive organizational information unless Client gives prior written permission.

Petrus Development may identify Client by organization name when discussing Sprint participation, deliverables, and results unless Client requests in writing that its organization name not be used publicly.

Client understands that any fundraising results shared publicly may depend on factors outside Petrus Development’s control and should not be interpreted as a guarantee of similar results for other organizations.

16. Communications and Response Times

Petrus Development will provide coaching and support through scheduled sessions and agreed-upon communication channels.

The Sprint does not include unlimited on-demand consulting unless expressly stated in writing. Petrus Development will make reasonable efforts to respond to client questions between sessions, but immediate responses are not guaranteed.

17. Ongoing Coaching Option

At the conclusion of the Coaching Sprint, you may have the option to continue with ongoing coaching at the then-current monthly rate.

Ongoing coaching is not included in the Coaching Sprint fee and does not begin automatically unless you enroll or agree in writing. Continued Pete AI access after the Sprint is available only through an eligible ongoing coaching arrangement, membership, or other Petrus-approved access plan.

18. Catholic Identity and Mission Alignment

Petrus Development provides services in a manner consistent with its Catholic identity and mission.

Petrus Development reserves the right to decline requests to create or support materials, campaigns, messaging, or activities that conflict with Catholic teaching or Petrus Development’s mission and values.

19. Independent Contractor Relationship

Petrus Development is an independent contractor and is not an employee, agent, fiduciary, officer, director, or representative of the client.

The client retains final authority over fundraising decisions, donor communications, financial decisions, organizational strategy, and implementation.

20. Limitation of Liability

To the fullest extent permitted by law, Petrus Development’s liability for claims arising out of the Coaching Sprint will not exceed the amount paid by the client for the Sprint.

Petrus Development will not be liable for indirect, incidental, consequential, special, or punitive damages, including lost donations, lost revenue, lost opportunities, reputational harm, or other business losses.

21. Force Majeure

Petrus Development will not be responsible for delays or failure to perform due to circumstances beyond its reasonable control, including illness, natural disasters, power outages, internet outages, platform failures, acts of God, government actions, or other events outside its control.

If such an event occurs, Petrus Development will make reasonable efforts to resume services or reschedule affected sessions.

22. Governing Law

These Terms will be governed by the laws of the State of Texas, without regard to conflict of law principles.

The parties agree to attempt in good faith to resolve any dispute informally before pursuing formal legal action.

23. Changes to These Terms

Petrus Development may update these Terms from time to time. The version in effect at the time of enrollment will govern your participation in the Coaching Sprint unless otherwise agreed in writing.

Any material changes affecting an active client’s Sprint will be communicated in writing.

24. Full Agreement

These Terms, together with any signed agreement, invoice, order form, checkout confirmation, or written enrollment confirmation, constitute the full agreement between the parties regarding the Coaching Sprint.

Any changes or additions must be agreed to in writing by both parties.

25. Checkout Agreement

By enrolling in the Coaching Sprint, you acknowledge that you have read and agree to these Terms and Conditions, including the payment terms, three-month program timeline, non-refund policy, Pete AI use terms, confidentiality obligations, ownership limitations, and acknowledgment that fundraising results are not guaranteed.
