Job Description: 

The Coordinator of Development leads and manages St. Paul Catholic Center’s parish stewardship and donor relations, the Annual Fund, communications and marketing, and development events. The Coordinator also supports various other projects in the area of mission advancement, stewardship, and development. This entails meeting, cultivating, and soliciting resident parishioners, alumni, parents of alumni, parents of current students, and current students through prospective and current donor phone calls, in-person meetings, and appeals. The Coordinator is also the primary administrator of electronic giving and the parish database.


Job Type:    

Full-time, Non-Exempt.  Reports to the Director of Mission Advancement.  Normal work hours require week days, evenings, and weekends.  Occasional day-trip and overnight travel and long-distance driving required. 30 minutes for prayer/reflection/daily Mass attendance is considered part of the work schedule.


Main Responsibilities:  

Parish Stewardship

  • Manages a comprehensive annual stewardship plan for Sunday and Holy Day collections including:
    ▪ Execute the annual in-pew stewardship appeal.
    ▪ Execute the annual United Catholic Appeal as directed by the Archdiocese.
  • Work with ministry leaders to ensure engagement of resident parishioners and opportunities for residents and students to interact and collaborate.

Annual Fund Campaign

  • The Annual Fund consists primarily of:
    ▪ Regular (weekly/monthly) donations from benefactors outside of the residential community (students, alumni, parents, and others) to St. Paul’s to support the work of our Campus Ministry
    ▪ Annual fund appeals
  • Creates, maintains, and executes a comprehensive annual fund plan, including:
    ▪ An annual fund - marketing calendar
    ▪ A three-year strategic plan for the Annual Fund program
  • Develops, creates, and disseminates annual fund appeals.
    ▪ Annual Fund Appeals
    • Fall appeal to parents of current IU students
    • Giving Tuesday (the Tuesday after Thanksgiving) 
    • Year-end appeal
    • Easter appeal
    • Other special appeals

Gift cultivation and solicitation

  • With the Director of Mission Advancement, identify prospects for high volume/low dollar gifts.
    • Maintain an active pool of prospective benefactors who can support the organization with a focus on qualifying, soliciting and stewarding first-time donors.
    • Discovery, research, cultivation, and solicitation of alumni to develop a robust alumni network of benefactors
  • Cultivate, solicit and close weekly/monthly gifts.
    • Make phone calls, set meetings, and provide appropriate communication before and after meetings

Communications and Marketing

  • Creates and implements marketing and communications program for collections and donors
  • Manages the production and distribution of marketing materials, including:
    ▪ 3 annual newsletters (Fall and Spring updates, Summer annual report); Compiles articles and photos, submits articles and photos to the designer, compiles donor report for the summer annual report and fundraising brochures and fliers, logos, letterheads, banners, videos, and other marketing materials for the advancement of St. Paul Catholic Center
  • Develops and implements a social media plan and content.
  • Manages the St. Paul Catholic Center’s website

Pastoral Intern Fundraising Supervision

  • Supervise the fundraising and development work of the Pastoral Interns
  • Help them to develop their own mission partners and ensure they meet their fundraising goal.

Electronic Giving and Database Management

  • Manages the St. Paul Catholic Center’s website and electronic giving, including updates to content, functionality and integration
  • Database Management
    ▪ Manages and updates online donor database regularly
    ▪ Basic input of data for donors from outside of the parish
    ▪ Performs annual review, reorganization and cleaning of database, in particular ensuring parishioner data is up-to-date.

General Development Office Responsibilities

  • Produce and mail year-end tax receipts in January
  • Assists with the execution of special events for St. Paul Catholic Center, which could include benefactor dinners and receptions, tail gates, guest lecture and other development special events, primarily through donor cultivation. Specific areas of responsibility include marketing materials, event programs, speaker preparation, solicit and steward event sponsorships, and assistance with the overall event success.
  • Positively represents to the highest standard of ethics and in a professional manner, St. Paul Catholic Center and the Archdiocese of Indianapolis at community and regional charity events.
  • Assures that Annual Fund Campaign expenses are maintained within the development budget.
  • Other duties as assigned by the Pastor and Director of Mission Advancement in support of the St. Paul Catholic Center’s, its fund development program, ministries and operations.


Position Specifications: 

  • Bachelor’s degree or higher in Marketing, Business, Communication, Non-Profit Management or another related field preferred.
  • Active and practicing Catholic. A solid knowledge, understanding and appreciation of the Catholic Church and its teachings, preferred.
  • Computer Skills: Proficiency using Microsoft Office and Google Forms and other database programs. Aptitude for learning and using other systems. Proficiency with social
    media outlets.
  • A valid driver’s license and reliable means of transportation.
  • Ability to manage a marketing operational budget.
  • Must be able to understand and to comply with the Archdiocese of Indianapolis Code of Conduct
  • Must be able to complete successfully the Archdiocese of Indianapolis Child Safety Training
  • Background screening required

Skills and Abilities:

  • Passion, enthusiasm and an affinity for the mission of the Catholic campus ministry, and the ability to effectively communicate it via marketing efforts.
  • Commitment to continuous learning.
  • Thoroughness in planning and implementing work, including goals, timetables, and formulating action steps to achieve objectives.
  • Ability to be flexible, work independently on a variety of projects, within stated deadlines, in a fast-paced office environment.
  • Effective interpersonal, verbal, and written communication skills to work with staff, students, board members, donors, volunteers and vendors.
  • Familiarity and skill with tools of the trade in marketing including PR, written communications, website development, market research, branding, and promotions.
